Hours                         Shifts available 10:00-13:00; 13:00-16:00 Monday-Friday
                                    (Availability on Mondays and Fridays specifically is highly desirable)

 

Purpose of the job

To staff the Advice Service reception desk and to provide accurate and consistent administrative support to the Advice and Wellbeing team.

Job description
  • To be the first point of contact for all enquires to the Advice Service Reception, answering and triaging enquiries at the reception desk, and via email and telephone.
  • To respond to enquiries from students, UCL and Union colleagues and others in a friendly, effective and efficient manner.
  • To work closely with the Advice Service Administrator to ensure you are well equipped to answer a variety of queries and signpost effectively where appropriate.
  • To ensure good and consistent housekeeping and presentation of the reception area.
  • To book appointments for students and update advisers’ diaries accordingly.
  • To work with students in line with the agreed Advice Service policies and procedures that support an independent, non-judgemental and confidential free service.
  • To enter student details on to the Advice Service’s online case management system.
  • To provide general administrative support as required.
  • To promote the Advice Service to students and the UCL community during Students’ Union events.
  • To carry out work professionally and confidentially at all times.

 

Person Specification

 

Essential:

  • Excellent written and verbal communication skills.
  • Ability to work independently and use initiative.
  • Excellent attention to detail.
  • Strong IT skills including proficiency with the Outlook, Microsoft Word and Microsoft Excel.
  • Reliable, punctual and able to multitask in order to meet deadlines.
  • Enthusiasm and positive attitude.
  • Understanding of and commitment to equality, diversity and inclusion.

 

Desirable:

  • Experience of working on a reception desk, or similar client-facing role.
  • Knowledge of UCL procedures and regulations.

Previous knowledge of office systems and procedures.
