Students' Union UCL provides a variety of bookable spaces for clubs and societies to host activities.
Booking a room does not necessarily mean your event can go ahead - your booking will remain provisional until all other required forms have been approved. Please review our 'Organising Activities & Events' How-To Guide for further guidance.

- Arts Priority Spaces
The following spaces are now prioritised for arts activity, and managed by artsUCL. Any queries related to booking these spaces should be directed to artsucl@ucl.ac.uk.
Block bookings will happen at the beginning of each term, and be allocated by the arts team, in collaboration with the societies team. Priority will be given to arts activity (whether that be arts societies, other clubs/societies doing arts activity or artsUCL open access programmes). The arts team will balance society activity demand, open access programmes demand, show rehearsal demand and practical considerations in allocating space.
Arts activity will be given a priority window for ad-hoc bookings, until 3 days before the time slot requested. If there is still availability 3 days before the time slot, this can then be booked by any club/society wishing to use the space.
Any booking requests for non-arts activity in these rooms placed more than 3 days before the requested time will be rejected.
- Bloomsbury Theatre Building Rehearsal Room: Wooden floor with a PC, speakers and projector available. The room also contains a piano, dance mirrors and ballet barre, and multiple fold-up chairs and tables. Capacity ~54. Located on the 1st floor of the Bloomsbury Theatre Building, 15 Gordon Street.
- Lewis Building Dance Studio: Wooden floor with a PA system, iPod input, DVD/CD player and speakers available. The room also contains a piano, dance mirrors and ballet barre. Capacity ~30. Located on the 1st floor of the Lewis Building, 136 Gower Street.ontent.

- Block and Ad-Hoc Bookings Process
Block Bookings
Union rooms can be block booked in advance of each term for regular club or society meetings through our Block Room Booking Request Form.
Block room bookings for term 3 have now closed. Current presidents and treasurers will be emailed details in advance of the next block room booking window.
Applications submitted before the deadline are considered on a 'fairest usage' policy, which allows us to accommodate requirements for as many clubs and societies as possible. Some rooms, days and times are more popular than others, but we will do our best to allocate you the spaces you need.
Ad-Hoc Bookings
Union rooms can also be booked on an 'ad-hoc' basis. Ad-hoc bookings can be requested through our Ad-Hoc Room Booking Form.
Please note, any club or society not using their pre-booked rooms 3 times in a term, without giving Student Activities Reception a minimum of 24 hours notice of cancellation, will have their remaining bookings for that term cancelled and their permission to book rooms suspended for one week.
Not using a further 3 bookings in the same term will result in further cancellations and a suspension of 1 full term.
- Lewis Building Terms of Use
By requesting and accepting bookings, clubs and societies agree to the below terms of use.
- Usage of Lewis Building facilities will be restricted to clubs and societies who have advance bookings confirmed by the Union through agreed procedures.
- Building access is by UCL ID card only (both outer and inner doors).
- There should be no transfer of ID card between any user.
- Club/society committee members/activity leaders are responsible for all attendees conduct within the building.
- The facilities can only be used on the days and times designated by confirmed Union bookings.
- Usage is restricted to the designated room and changing/bathroom facilities.
- All users must not enter the building more than 15 minutes before booking, and must have exited no later than 15 minutes after booking.
- Where possible, clubs/societies should provide a first aider at each booking.
- All users must abide by agreed social distancing guidelines and use the hand sanitiser provided.
- Any problems with the facilities or other users should be immediately reported to the Union by emailing su.activities@ucl.ac.uk.
- In case of emergencies, follow the instructions provided in the foyer and rooms.
Usage will be monitored regularly by card access data, CCTV and in person checks by Union staff.
Failure to comply with the above may result in the removal of all booking and access privileges, and disciplinary action against club/societies or individuals.
Union Bars and Cafés

Students' Union UCL have four bars and one café space you can book for parties, fundraisers, socials, quiz nights, or any other event!
- The Huntley (upstairs only): A relaxed space with comfy sofas and space to chill out. Ideal for smaller gatherings of up to 40 people. Available to book for socials every weekday & every evening excluding Wednesday. No extra equipment such as mic’s, projectors, or speakers are available.
- Mullys: Our much loved basement bar is always a sure fire hit for Karaoke nights, quizzes and party’s. Great for events of 40-250 people, Mully’s also has a stage, projector, microphones, and DJ booth. Available to book for events every weekday evening excluding Wednesday.
- Phineas: Get the party started in Phineas with a stage, microphone and DJ booth one end and seating at the other. The bar’s layout is ideal for creating different zones for your event. The bar is great for larger groups between 100- 350 and regularly hosts live music nights, quizzes, club nights meaning it is only available to book Saturday evenings for whatever you fancy (exclusive use).
- The Institute: A modern and open plan bar with space for dancing or relaxing that during the summer months spreads out onto the terrace. Great for larger events of between 100-300 people depending on the time of year. Institute is popular for quizzes, live music or parties and has a microphone, sound system and digital screen access for events as well as capacity to serve pizzas. The Institute is available to book on Saturdays only.
- The Print Room Café: Located at the heart of Bloomsbury campus, this versatile space is great for if you want to host a private or public catered event. Capable of hosting up to 60 people, the café is open for private event bookings every Monday evening and other weekday evenings for public events subject to availability.

- Music Practice Rooms

artsUCL Music Practice Rooms can be booked using Microsoft Bookings. This change will allow you to instantly book available practice rooms with a confirmed date and time.
Key Details:
- Bookings can be made up to one week in advance, on a first-come, first-served basis.
- After booking, you’ll receive an email confirmation for your reserved time.
- Booking slots start and finish on the hour and half past the hour.
Booking Policies
To ensure fair access due to high demand, please note the following limits:
- Rooms are only available to UCL Students
- Maximum 1-hour booking per day per student
- Maximum 5 hours per week per student
The artsUCL team will regularly review bookings, and any reservations exceeding these limits will be cancelled to accommodate other students. If your booking is cancelled, you will receive a notification via email. You must not attend a booking if it has been cancelled.
Additional Information:
The rooms are above the Huntley Bar in the Lewis Building, 134-136 Gower Street, WC1E 6BP. Pass through the George Farha Café into the Huntley Bar, walk past the bar, through the white door and up the stairs to the second floor.
Upright pianos are also located in other Union rooms, and can be used by any clubs or societies that have booked the room.

- Sound Proof Room
The Sound Proof Room in the Lewis Building can be booked by members of the Live Music Society only.
All bookings are subject to the terms of usage outlined on the Live Music Website, and within the booking portal itself. Membership of the society can be purchased from the Live Music Society page.

- Film Studio
You can request to book the Film Studio in the Bloomsbury Theatre Building via the Film Society website.
Access cards can be collected from Student Activities Reception, 2nd Floor, Bloomsbury Theatre, 15 Gordon Street once a booking has been made.
Sports Facilities

There are two methods for sourcing training facilities: you can either find a suitable facility yourself, paying for it from your Club account, or you can apply to use Student's Union UCL sports facilities, which are centrally funded and therefore available for use at no extra cost. Please note that priority on these spaces will be given to clubs that require them for core activity and show maximum engagement with us.
- TeamUCL Gym - Mandela Studio, Multipurpose Room and Squash Courts
Presidents and Treasurers can request to book space in the TeamUCL Gym by completing this webform. Please check the class timetable and ensure you have spoken to your Development Coordinator (either Sports or Societies) before requesting additional space.
- The Mandela Studio is located within the TeamUCL Gym and has access to mats, a sound system and a full wall of mirrors. It is very spacious with high ceilings and is suitable for various sessions including martial arts, cheerleading, dance and strength and conditioning. It has a maximum capacity of 30 people.
- The Multipurpose room and squash courts are also located within the TeamUCL Gym and have access to mats. The space is perfect for a range of martial arts sessions, smaller strength and conditioning sessions and of course, squash. The maximum capacity of the MPR and each squash court is 12 people.
There is a fee charged to clubs and societies for additional bookings outside of core allocations. The day fee of £3.50 per person (student rate) will need to be paid by attendees if they do not already have a TeamUCL Gym membership. Please inform attendees to arrive 10 minutes prior to class if they are not members of the TeamUCL Gym as they will need to register first.
- Somers Town Community Sports Centre
Somers Town is located within walking distance of UCL main campus and has outdoor MUGA pitches, a Dance Studio and a Sports Hall. It is the perfect space for basketball, badminton, table tennis and netball amongst other activities.

- External Sports Facilities
Your club can also hire external facilities.
If you have been granted money for external hire, this should be used towards paying for the hire. If needed, you can supplement your grant funding with non-grant income to help cover costs. If you have not been granted any funding for facility hire then you will need to fund external hire through your non-grant account. For more information on club/society expenditure, please review the 'Expenditure' section of our core how-to guide on 'Raising, Spending & Managing Money'.
Facility grant allocations are sent out after clubs have registered their intention to book external facilities and informed us of how much they will require in order to run their core activity. TeamUCL will be in touch with all clubs regarding this.
- To book and pay for an external facility you should first contact the facility to check availability and the terms and conditions of hire. Club training is generally held during Terms 1 and 2, often excluding reading weeks, but this will vary by sport and its competitive season.
- If you wish to continue with the booking, fill in the facility's booking form. The booking should be made in the name of your Club (e.g., Team UCL RUMS Tennis Club c/o Student's Union UCL Finance, 25 Gordon Street, London, WC1H 0AY).
- Your president or treasurer should submit this booking form and/or booking contract signed by the third party, through the Club and Society Contract Webform along with a Purchase Request Form. The contract will be checked by the Activities and Finance teams and then signed off by the Activities Officer. UCL Rooms

UCL Rooms can be booked via CMISGo. Presidents are given access to CMISGo at the beginning of term 1, subject to completion of core training and club/society registration. You must be on campus (via ethernet/desktop or Eduroam) or using a UCL VPN to access CMISGo.
Booking a room does not necessarily mean your event can go ahead - your booking will remain provisional until all other required forms have been approved. Please review our 'Organising Activities & Events' How-To Guide for further guidance.
- If you are booking a room for an event with an external speaker you must specify this on the form, under ‘other relevant information’. Remember, you will also need to submit an External Speaker Request Form.

- Accessibility
When booking rooms, it is important to consider accessibility. This could be visual, hearing, motor or cognitive.
Please ensure the room is wheelchair accessible and ask attendees if they have any accessibility needs before the event. They may need sign language support, bigger font size printing, or other accommodations - be as accommodating as you can.

- Portering Services
Porters can be booked to set up furniture or rearrange room layouts, and to transport equipment between UCL premises.
- If you have booked a UCL room through CMISGo, you can raise a portering request yourself through MyCampus.
- If you have booked a Union room, please email us your portering request, as we will have to request this on your behalf.
Please note that the Portering team require at least 4 working days notice. For most requests, there is no charge. Charges may apply for large or complex requests including the additional use of resources including personnel, equipment or vehicles.
Please note that in advance of every term, we request seating retraction in Christopher Ingold G21 (Ramsay) and Anatomy Building G04 (Gavin de Beer), such that the rooms are in a flat-floor configuration during core Union booking times. Therefore, requests for these two rooms should not be necessary. Please contact su.activities@ucl.ac.uk in the event of any issues.
External Venues

Although there are many good spaces on campus, there will be occasions when you want to use an external venue for something specific. Examples may include booking a club, a theatre or a boat. There are lots of different things to consider!
Consider all your needs and review venue options against these.
- Ask if the venue provides security (if you need it), and most importantly, when you can use it and what they expect of you.
- If you’ve hired it for an evening, do they expect you to clean everything before you leave?
- Make sure the costs are reasonable, and there are no hidden fees. Where is the money coming from to cover the costs - tickets, grant account, non-grant account?
- External companies, suppliers or venues will also have their own timescales, so make sure you consider and check all the deadlines you will need to meet.
- If an external provider needs the Union to provide something such as a deposit or sign a contract, you must submit the relevant forms as soon as you can!
- Boat party providers require quick turnarounds. We recommend submitting all required forms with at least 10 working days notice for these events.
Remember – your event isn’t approved until all the relevant forms have been approved by the Union. You can’t promote your event until these forms are approved. Please review our 'Organising Activities & Events' How-To Guide for further guidance.
AV & Events Equipment

The Student Activities Reception has a limited amount of AV equipment that can be borrowed by Clubs, Societies and members of Staff. Please review our guide on How to book AV & Events Equipment for more information on Union AV, UCL AV and Events support, Stage Crew support and hiring externally.
Note that we require the submission of any AV & Events Equipment Request Form at least 5 working days in advance of your event, so that we can check the availability of your requested equipment, process the booking and prepare the equipment for pick-up.
To improve the chance of the equipment being available to book, please send your request well in advance, as bookings are allocated on a first-come, first-served basis.
Club and Society Storage

The Student Activities team manages a limited amount of on-campus storage for use by clubs and societies. Space is extremely limited and we are currently in the process of reviewing storage allocations to free up additional capacity.
To request storage space for your club or society, please complete our Storage Space Request Form.
Please note that completion of this webform does not guarantee allocation of storage space. When storage space becomes available it will be allocated on a needs priority basis.
- Equipment Insurance
We only insure club/society equipment that is Union-owned, registered on your inventory and stored securely on university property. We do not cover equipment kept at individual’s houses, and/or individual’s own personal belongings.
Occasionally you may need to hire equipment (e.g., borrowing a boat or hiring in specialist lighting equipment for a show). For the equipment you hire to be covered, you need to let us know before the hire begins as it needs to be logged and submitted to our insurance company. There may be an excess fee which will be charged to your club/society.

- Union Storage Spaces
Storage keys for societies with storage access can be booked out at the Student Activities Reception (Mon – Fri, 10am – 10pm and Sat/Sun 11am – 7pm, during term time). Student ID must be exchanged for the key. The key must not be taken out of the building, and should be returned promptly. No personal items should be stored in Union club or society storage spaces unless on a temporary basis, with express permission of the Activities team and proof of insurance (where necessary). Storage of personal items is at your own risk.

This is for the use of Jazz Society and Folk & World Music Society to store society equipment. Access is granted through the Student Activities team via a request from the relevant society president. The room can be accessed outside of reception desk opening hours via the designated society key holders (President and Treasurer), subject to building opening times. You must be a member of Jazz or Folk & World Music society to be granted access. Storage is currently at capacity.
Music Cupboard
Bloomsbury Theatre Building, 2nd floor
This is for the use of Music Society to store society equipment. Access is granted through the Student Activities team via a request from the society president. The room can be accessed outside of reception desk opening hours via the designated society key holders (President, Treasurer and Director of Music), subject to building opening times. You must be a member of Music Society to be granted access. Storage is currently at capacity.
Sports Storage 212
Bloomsbury Theatre Building, 2nd floor
This is for the use of sports clubs to store club equipment. Access is granted through the Student Activities team via a request from the relevant club president. The room can only be accessed outside of reception desk opening hours via American Football Club designated key holders (President and Captain), subject to building opening times. You must be a member of a relevant sports club to be granted access. Club storage access is reviewed annually. Storage is currently at capacity.
Lockers
Bloomsbury Theatre Building, 2nd floor (Common Room)
Lockers are for use by societies to store society equipment. Requests for a society locker should be sent to su.activities@ucl.ac.uk. Access is granted through the Student Activities team via a request from the relevant society president. You must be a member of relevant society to be granted access. Locker allocation is reviewed annually. Storage currently has limited availability.
TeamUCL Gym Storage Room C

This is for the use of sports clubs to store club equipment. Requests for club storage should be sent to su.activities@ucl.ac.uk. You must be a member of a relevant sports club to be granted access. The room can only be accessed outside of reception desk opening hours via the TeamUCL Gym Reception Desk, subject to fitness centre opening times. Club storage access is reviewed annually. Storage is currently at capacity.
TeamUCL Gym Storage Room E
Bloomsbury Theatre Building (Film Archive and TeamUCL Gym Equipment)
This room is for Film Society archives and can only be accessed by Film Society committee or Student Activities staff. Request for access should be made via the Student Activities Reception.
Mountaineering Cupboard
Bloomsbury Theatre Building, 4th floor stairwell
This is for the use of Climbing & Mountaineering Club to store society equipment. Access is granted through the Student Activities team via a request from the relevant society president. The room can be accessed outside of reception desk opening hours via the designated club key holders (President and Gear Secretary ), subject to building opening times. You must be a member of the Climbing & Mountaineering Club to be granted access. Storage is currently at capacity.
Archery Range
Wilkins Building, South Cloisters Basement
This is for the use of sports clubs and societies to store club/society equipment, which needs to be accessed regularly, particularly out of hours. It is 24 hours, swipe card access (via UCL ID card), with CCTV and combination lock equipment cages. Requests for club/society storage should be sent to su.activities@ucl.ac.uk. Access is granted through the Student Activities team via a request from the relevant club/society president. UCL Security systems will then activate access on the member’s ID card. Presidents will then entrust relevant members with their combination lock code. Access is for named ID card holder only and cards should not be given to any other person to gain access. Costume Cupboard
Lewis Building, 2nd floor (The Huntley)
The Costume Cupboard is for performance arts societies to store costumes and props and is managed by the artsUCL team.
In order to maintain the space, the Costume Cupboard is only available via appointment, to production team members of Dance Society, Drama Society, Shakespeare Company and Musical Theatre Society.
Please email artsucl@ucl.ac.uk to book an appointment - appointments will be made between 10:00am and 5:00pm, Tuesday - Thursday.
Arts & Media Storage
Lewis Building, 2nd floor
Arts & Media Storage is currently available to limited Arts Societies, and is being reviewed. Requests for storage from societies should be sent to su.activities@ucl.ac.uk by the society president only. Access is granted through the Student Activities team via a request from the relevant society president. The room can be accessed outside of reception desk opening hours via the designated society key holder (Live Music Society), subject to building opening times. You must be a member of a relevant society to be granted access. Storage is currently at capacity.
