Purpose of the job

Students’ Union UCL is looking for a Project Assistant to support with the coordination and delivery of a number of projects run by the Intercultural Engagement department and to provide general administrative support. In particular, the Project Assistant will support our freedom of speech work, assisting with the processing of society external speaker requests and providing administrative support for our Leaders in Dialogue skills development programme. 

 

The Intercultural Engagement department aims to create a global experience for all students at UCL, while fostering community cohesion and creating leaders able to navigate difficult conversations. By increasing the number and range of intercultural exposure opportunities, our ambition is to enable students to gain life changing experiences, develop new skills and increase their intercultural awareness and understanding.

 

The Project Assistant will be responsible for processing society external speaker requests, providing support for our Leaders in Dialogue programme, and supporting the wider Intercultural Engagement department to deliver opportunities for students.

 

 

External speaker requests

At Students’ Union UCL, we have a proud record of facilitating up to 1500 external speaker events every year. This enables our members to hear from a range of speakers on different topics, broadening the scope of discussion and debate and contributing to the academic and non-academic development of our members. This role will support the Intercultural Engagement Manager (Freedom of Speech) to manage this process, which is key to enabling the Union to balance our responsibility to enable and protect freedom of speech within the law with our fundamental charitable purpose to deliver for the educational benefit of our community and society. This role will conduct initial research on external speakers, provide risk categorisations, and suggest the best ways to ensure external speaker events can take place safely for all students. 

Leaders in Dialogue Programme

Launched in 2023, the Leaders in Dialogue (formerly Impartial Chairs) programme is a sector leading skills development programme developed by Students’ Union UCL to create resilient and reflective student leaders. The programme includes free training workshops, as well as an experiential learning trip to Northern Ireland. The successful candidate will facilitate the delivery of this programme. This includes administrative support, such as managing the Intercultural Engagement inbox and supporting with the organisation of meetings and events, collecting and analysing data through surveys and focus group sessions, drafting content for the website, and providing logistical support for the Northern Ireland trips. Wider Intercultural Engagement team projects

The successful candidate may also be asked to support the wider work of the Intercultural Engagement department. This includes our Discover the UK programme, which provides students with easy and low-cost opportunities to explore the UK, as well as our International Mobility Programme, which provides opportunities for international mobility and partnerships across the globe.

Job description
  1. To assist with the coordination and delivery of projects run by the Intercultural Engagement team.
  2. To assist with the processing of society external speaker requests, including research into speakers, conducting risk assessments, and providing the team with recommendations for mitigating risks.
  3. To assist with travel and accommodation bookings for key projects, including the Leaders in Dialogue programme’s experiential learning trips.
  4. To assist with the monitoring and evaluation of projects run by the Intercultural Engagement team.
  5. To handle and process confidential data.
  6. To liaise with external suppliers and staff.
  7. To collate information, draft and distribute communications.
  8. To assist with writing copy and updating the Students’ Union’s website.
  9. To provide general administrative support to the Intercultural Engagement team, including managing the Intercultural Engagement inbox.
  10. To model the appropriate behaviours and values in intercultural awareness and understanding. 
  11. To always carry out work professionally and confidentially.
  12. To undertake all duties in line with UCL and Students’ Union UCL policy and procedures.
