Access to the mailbox.

In Outlook 2016

Note you will need to do this for each computer you use the mailbox on as it stores the signature locally.

Note also that while in the box in the signature edit window the signature may look garbled, it will be fine in an actual e-mail. If you need to edit your signature, we recommend you edit it in a blank new e-mail and then copy-paste it into the signature box.

First, setup Shared mailbox as second account:

  1. Click File > Account Settings in the Account Settings list. 
  2. In the Account Settings dialog box, in the E-mail tab, click New.
  3. In Auto Account Setup dialog, fill in with the shared mailbox Name and E-mail address, keep the Password blank, click Next.
  4. When the UCL login appears, click 'sign in with a different account'
  5. Enter your normal e-mail (e.g. [email protected]) and password
  6. Click Finish to complete the shared mailbox configuration. 
  7. Restart Outlook and click the shared mailbox.

Then, set the signature for shared mailbox:

  1. Go to File > Options > Mail, click Signatures.
  2. Under E-mail Signature, click New to create a new signature.
  3. Edit to what you want under Edit Signature box.
  4. In Choose default signature part, select E-mail account to the shared mailbox.
  5. Set the signature for New messages and Replies/forwards respectively.
  6. Finish the setting and save all.
  7. Click Shared mailbox, create a new email to check if the signature is displayed there automatically.

In Outlook in the browser (OWA)

  1. Go to https://outlook.office.com/mail/[email protected]/options/mail/messa…, replacing su.systems with the appropriate e-mail address.
  2. Change the signature there, enable it for new mail using the checkboxes, and save.

This will only show up when using OWA, it will not sync to Outlook desktop.
