Visiting/Associate and Under 18s membership

Visiting/Associate

• Students should fill out the form at http://studentsunionucl.org/forms/request-visiting-or-associate-membership-for-clubs-and-societies
• Submission will trigger an e-mail to whichever Union e-mail is set up at https://studentsunionucl.org/node/122466/webform/emails
• Staff should go in to https://studentsunionucl.org/node/122466/webform-results to look at submissions
• To look at and approve/reject a submission click on the 'SID' number in the row of the submission
• To change the status, in the Workflow box select a new state
  • 'Approved and unpaid' will e-mail the product links to the user for them to purchase - sales of those products should then go to the user specified in the rule (Systems only: https://studentsunionucl.org/admin/config/workflow/rules/reaction/manage/rules_associate_visiting_membership_product_purchased)
  • 'Approved and paid' will automatically create the user as an associate/visiting member
• Users' memberships will be automatically expired once they log in after the expiry date

Under 18s

• Students should complete the form at https://studentsunionucl.org/forms/request-under-18s-membership-for-club-or-society
• Staff should look at https://studentsunionucl.org/node/125592/webform-results
• To look at and approve/reject a submission click on the 'SID' number in the row of the submission
• To remove a club/society, Edit the submission and then hold Ctrl and click any selected clubs you don't want to be included. Save and then approve as normal.
• To change the status, in the Workflow box select a new state
  • 'Approved' will e-mail the student with the log message, and allow them to purchase memberships for only the clubs/societies they chose
  • 'Rejected' will e-mail them with the log message
• If a student needs more clubs/societies after the first form:
  • They can submit a whole new form - any number of 'Approved' forms will work, and the new submissions do not need to include the previous submissions' clubs/societies
  • Staff can also edit existing submissions to add clubs/societies (holding Ctrl to select as with removing, then saving the submission) to allow for additional purchases to be made.
