  1. Staff member should visit https://studentsunionucl.staffsavvy.me/create_contact.php
  2. Colleague or SU.Systems can then grant permissions, preferably based off an existing user. You will need to ask your colleague or SU.Systems to authorise it, they are not automatically informed of your pending request.
Authorising new staff members

Visit https://studentsunionucl.staffsavvy.me/authorise_accounts.php to authorise new staff requests. You may need specific access for this, if needed contact su.systems.

Making announcements (e.g. shifts available)
Only use 'news' to inform student staff of available shifts etc. Alerts should only be used in emergencies.

On the menu: Staff -> News -> Add news

Installing Chrome for StaffSavvy

Chrome is available on all Desktop@UCL workstations. If its not installed on your desktop you can download it from the UCL ‘Software Centre’ by following the instructions below:

  1. Go to start button in the bottom left hand corner of the screen
  2. In the search box type in ‘Software Center’
  3. Then search for Google Chrome
  4. Install Chrome
  5. Cut and paste https://studentsunionucl.staffsavvy.me into Chrome and logon
  6. Cut and paste https://studentsunionucl.staffsavvy.me/clockin/ to clock on
Adding staff members from another unit

When a student signs up for StaffSavvy they choose a Home Unit which they are then assigned to for Line management etc.

If a student works for another unit they need to be added as a member of the additional unit in order to allocate shifts on the ‘Manage Shift’ screen and authorise timesheets in the ‘Weekly Timesheet’ view for the additional unit.

To do this, SU Unit Managers can add staff to their units by following these instructions.

  1. Going to System -> My Unit Settings
  2. Then select Unit Staff
  3. Search for the member of student staff in the Staff Member box under 'Add member'.
  4. Once you have found the member of staff click on the ‘Add Member’ button.
  5. The student staff details will then show in the list of members of the unit. In the list of ‘Existing Members’ you will see some accounts with a tick box next to them and some with a greyed out statement of ‘Locked – this is xxxx default unit’. The greyed out ‘Locked’ accounts are the ’Home Unit’ staff and cannot be removed from this screen.
  6. The accounts with the tick box are the additional members who have been added to the unit.
  7. When they leave the unit they can be removed from the additional unit by ticking the box under ‘Remove?’ and selecting ‘Update’. This will remove them from your unit but not from StaffSavvy.

If you cannot see 'Unit staff', ask one of the systems administrators to add you as a unit manager for your unit (they will add you via System -> My unit settings -> Unit managers). Due to a bug in StaffSavvy, you may need to be added as a 'unit manager' of the test unit as well in order to see the 'Unit staff' button.

Transferring a staff member

There is an option, via the Clock In screen, to transfer a staff member who is already logged into a Unit.

This ‘Transfer Staff Member’ option is for either

  • Transferring a member of staff to another unit ie. Gordons Café to Bloomsbury Café at the same skill level or
  • Transferring the member of staff within the same unit but to a different skill ie from Bar Staff to Supervisor

When they transfer between Units or Skills then the shift times are preserved for breaks etc, which would be lost if they logout and log back in again.

Archive a staff member
  1. Go to Staff -> Staff directory
  2. Start typing the student name in the search box
  3. Click on the student's name when it appears in the list
  4. Go to Actions up the top right, then Archive

Line managers can archive students whose home unit they are manager for. However, ensure that the student is not working for any other units before doing this.

Authorising a Clock In Screen Location

The first time each user clocks in to StaffSavvy on a workstation the location needs to be authorised by the SU Unit Manager

To do this:

Open Google Chrome (If Chrome is not available then install it as per ‘Installing Chrome for StaffSavvy’)

Go to: https://studentsunionucl.staffsavvy.me/clockin

Authorise Location: Click when complete.

Complete the following:

Location Name: Enter the name of the Unit the screen is being authorised for and a brief, clear description e.g. Activities Student Reception.

Unit: Select the Unit you wish to authorise the screen for

Email: the email address of SU.Unit Manager registered with StaffSavvy

Password: StaffSavvy password of SU.Unit Manager

Authorising remote clock-in / clock-in without shifts

Your staff must have a Skill that has "remote clock in" enabled (e.g. "Administrative Plus").

They would then go to https://studentsunionucl.staffsavvy.me/remote-clock.php to complete

Approve/edit shifts

Wages -> Weekly Timesheet

The fastest way of approving is to approve the whole week of shifts for one person at once. This can be done only in the case if ALL the shifts on that week for that person do not need any editing. If you want to approve all shifts of one person in one week at once, click on the blue APPROVE button with a green tick on the right side of the screen (in the respective line). This will then turn green.

If, before approval, there are changes to be done regarding individual shifts, just click on the specific shift you would like to edit. This can be useful, for instance, if someone’s clock in/out times do not correspond with reality or they have forgotten to clock out for their break.

Breaks can be added/edited after clicking the button in the top right corner (Edit Breaks). Simply add the desired time of the break and click “Add”. Then you can close the window by clicking on the cross in the top right corner.

When all the changes have been made, you can either save the shift (Save Clock), or save and approve it (Save and Approve Clock).

If you choose only to save it, you will then still have to approve it, along with the rest of the week, using the mentioned Approve button on the right side. A shift can also be deleted by clicking on the Delete button in the bottom right corner.

Tablets for checking in

Resetting wifi:

If the wifi password has expired or isn't working, you may need to "forget" the network and then log in again.

To forget:

  1. Swipe down from the top on the screen to access 
  2. Settings, select All Settings Wireless > Wifi Networks, and then tap the eduroam network that has a check mark to its left.
  3. When the 'Forget Network' dialog box appears, tap Forget.

Then reconnect following the guide on https://www.ucl.ac.uk/isd/how-to/connecting-to-eduroam-wi-fi-android logging in with any UCL account.
