Purpose of the job

The Extended Learning Assistant supports the delivery and promotion of events that form part of the Extended Learning Programme, a collaboration between UCL and Students’ Union UCL offering free learning opportunities to taught students in Term 3. Working closely with the Extended Learning Manager and event leads across the Students’ Union, the role provides on-the-day event support, behind-the-scenes administrative support, and assistance with capturing content to showcase the programme and support future promotion.

By taking responsibility for event administration, communications, evaluation, and content capture, the role helps ensure students taking part in the programme are well informed, supported, and able to focus on learning and enjoyment. The role also supports the wider Extended Learning team across both the Students’ Union and UCL, enabling greater focus on strategic planning, programme development, and external engagement opportunities such as showcase events.

This role contributes directly to delivering opportunities that enable students to develop skills, networks, and confidence beyond their academic studies. Job description

Role Description
The role holder will be expected to:

  • Provide operational and administrative support for events within the Extended Learning Programme
  • Support the delivery of in-person events, including on-the-day event support and responding to issues as they arise.
  • Prepare pre-event materials and packs for students and event leads
  • Communicate clearly and professionally with students via email, including sharing event information and updates
  • Edit, update, and maintain event webpages and the Students’ Union UCL programme landing page to ensure information is accurate and up to date
  • Support the capture of video and photo content during events, working with the Extended Learning Manager and relevant staff to record material for future promotion and reporting
  • Assist with gathering content to showcase the programme, including supporting preparation for the UCL200 showcase event on 11 June
  • Liaise with Students’ Union staff across different teams, including event leads, marketing, and content creators
  • Support the Extended Learning Manager with coordination tasks and ad hoc administrative work
  • Carry out event evaluation activities, including gathering and organising feedback from participants
  • Confidently support events in progress, including making announcements or sharing updates with attendees where needed
  • The role is primarily team-based, working closely with the Extended Learning Manager and collaborating with staff across the Students’ Union. While public speaking is not a core part of the role, confidence in supporting live events and engaging with participants is required.
  • Please note that the main delivery period for this role is 18 May – 12 June, including a two-day conference and the UCL200 showcase event on 11 June. Availability during this period (including during May exam time and the Easter holiday) is essential. As this is a part-time role, working hours will be flexible and agreed in advance around event schedules.
  • Person Specification
  • Essential:
  • Experience supporting or delivering events (this could include Students’ Union events, society or club events, conferences, or similar)
  • Strong organisational and administrative skills, including confident use of spreadsheets
  • Excellent written and verbal communication skills
  • Ability to work independently, take initiative, and manage tasks with minimal supervision
  • Confidence working as part of a team and liaising with multiple stakeholders
  • A reliable and professional approach to work, particularly during busy delivery periods
  • Confidence supporting live, in-person events and communicating updates to attendees when required
  • Willingness and confidence to support basic video or content capture during events (training or guidance will be provided where needed)
  • Good listening skills, empathy, and an understanding of how to support students effectively
  • Eligibility to work in the role: you must be a current UCL student and able to work in person
  • Ability to work well under pressure during busy event delivery periods

  • Desirable:
  • Experience working or volunteering within a Students’ Union (this can include as part of a club or society)
  • Experience supporting conferences, large-scale events, or showcase-style events
  • Experience with student communications, marketing support, or content creation
  • Experience collecting or supporting event evaluation and feedback
  • Familiarity with tools such as Mailchimp, Outlook, Microsoft Teams, or basic video recording tools
