Community Volunteering Administrative Assistant

 

Students’ Union UCL’s Student Social Impact team exists to enhance student life at UCL through extra- and co-curricular activity with social purpose at the centre, thereby shaping excellent local and global citizens, who understand their position in the world and leave UCL with the skills, tools, and attitudes to continue to take positive social action.  We require an Administrative Assistant, for an immediate start, to join our Community Volunteering Team on 14 hours a week through to July 2027.

 

If you are a current UCL student and would like to work in a vibrant office liaising with student volunteers, community organisations and student leaders, then this is the role for you. 

 

Previous Administrative Assistants in our team have gone on to work in graduate roles in charities, law firms, the City and the Civil Service Fast Stream; the role will give you an insight into stakeholder relations, project and events support and wider administrative processes and procedures.

 

The role is for 14 hours a week throughout the year (two full days 10:00-17:20 GMT or four half days 10:00-13:30/13:30-17:00 GMT) – we are flexible on weekdays and can look into working around any prior commitments you may have.  Please read our job description thoroughly and make sure you demonstrate how you meet the person specification in your ‘Statement in Support of Your Application’.

Pay:                 £ 14.70 per hour from 1st May 2026

Job description

Principal Responsibilities and Duties

 

  • To provide administrative support to the Community Volunteering Team with a particular focus on our Student Volunteering Programme and Volunteering Directory.

     

  • To help maintain contact with student community volunteers, partner organisations and projects, by fielding emails from our shared email accounts, leading on follow-up communications, providing key information with our stakeholders 

     

  • To help with data management tasks, by:
  • Inputting data from volunteers, projects and external partner organisations
  • Updating partner organisation, project and volunteer records
  • Checking the database for errors and proofing on entry

 

  • To assist in the curation, generation, and delivery of content and promotional materials for the Volunteering team website and social media.
  • To take an active role in sourcing and generating marketing campaigns for various Volunteering team engagement activities such as volunteering drives, awards ceremonies, etc.
  • To take an active role in sourcing and generating content for the Student Social Impact team’s e-bulletin and lead on specific content about community projects.

 

  • Provide information about financial reimbursement requests and Disclosure & Barring Service (DBS) checks

     

  • To support with the processing of Conducting Disclosure & Barring Service (DBS) checks and volunteer expenses

 

  • To assist with the planning, administration and staffing of the Community Volunteering team’s wider event

 

Other duties

  • To be a positive representative for the Volunteering team, Students’ Union UCL and UCL through the completion of your duties
  • Maintain an awareness and observation of Fire and Health & Safety regulations
  • Commit to reducing Students’ Union UCL’s environmental impact and promote environmental and ethical good practice in line with Students’ Union UCL’s policy
  • To co-operate with and support Students’ Union UCL's other activities and undertake such duties within the general framework of the post as may from time to time be required
  • To undertake all duties in line with Students’ Union UCL policy
