Purpose of the Job

 

Do you have experience delivering, coordinating, or project managing theatre productions, live performances, art events, or festivals? 

We are looking for Venue Coordinators to support in the successful delivery of the new artsUCL Fringe Festival. The artsUCL Fringe Festival will take place between 1 June – 13 June and is[BR1]  an explosion of creativity on campus with over 50 productions from drag to theatre, comedy to dance, cabaret to musical theatre and everything in between.

Working within the artsUCL Team at Student’s Union UCL, our Venue Coordinators will ensure the smooth running of Fringe performances, acting as the main point of contact for performers, technical teams, and FOH Staff. The role is vital to maintaining a professional, welcoming, and safe environment throughout the festival period.

Job description

 

The role holder will be expected to:

 

  • Oversee all performance activity within the assigned venue, ensuring the space is always performance ready at the required times.
  • Manage storage at your venue, including allocation, collection and organisation.
  • Create daily schedules for your designated venue, including call times, performances times, changeovers, and any technical rehearsals.
  • Liaise with productions regarding daily schedules and ensure they are adhered to.
  • Support the Venue Technical Manager on the implementation of technical schedules, including get-ins, get-outs and technical rehearsals.
  • Lead on ticketing for your venue, including scanning tickets, responding to in-person queries, and managing the capacity of your venue.
  • Manage promotional materials including flyers, programmes and daily programming promotional resources
  • Monitor venue cleanliness, audience flow, signage, and accessibility needs.
  • Serve as the main onsite contact for productions using the venue during the festival.
  • Capture content at your venue as directed by the artsUCL Team.
  • Communicate clearly with artsUCL Team to ensure consistent information flow.
  • Ensure your venue, and all activity within your venue, adhere to the artsUCL Fringe Festival Risk Assessment and any instructions given by the artsUCL team.
  • Identify, record and escalate any incidents promptly to the artsUCL Producer.
  • Troubleshoot audience concerns, ticketing issues, latecomer management, and general queries.
  • Maintain a welcoming, festival-spirited atmosphere in and around the venue.

     

 

Person Specification

 

Essential

 

  • Experience in live events, theatre production, festival operations, or venue management.
  • Strong organisational skills and understanding of student-led performances.
  • Excellent communication and people-management skills.
  • Commitment to inclusive, accessible, and safe working environments.
  • You must be available to work 10:00am to 10:00pm for the majority of days between Monday 1 June – Friday 12 June (exc Sunday 7 June)
How to apply

Desirable

 

  • Prior experience in fringe or multi-venue festivals.
  • First Aid training.
  • Experience working with students, and/or supervising volunteers.
  • Experience engaging with artsUCL and student-led productions.
  • Knowledge of health & safety in performance venues.
  • Proactive with a strong sense of responsibility and ownership.
  • Passionate about supporting students and delivering great audience experiences.
