Sometimes an event with have an overall event time, but then we will want to ticket individual timeslots. e.g. the Welcome Fair is over two days, but students need to book an entrance time from each half hour it will be running (32 ticket types).

However, under an event, every ticket type with a different time set for it will show up separately in the What's On calendar. This can lead to unwanted multiples showing on the calendar.

There are two options to deal with this:

  • Have ticket types use the overall event time, but have them named according to the entrance time (this is what we used for Welcome Fair in 2023)
  • Have ticket types each have their own time (overriding the event's overall time), but set it so the event shows only one event on the What's On calendar

Each is explained below.

Ticket types use event time, named slots

  1. Create an event and set its time to the overall length of the event, e.g. 10am to 5pm.
  2. Create ticket types for each slot you want to book. Name the ticket type the time of the slot, e.g. "2pm Saturday".
  3. Do not check the date override checkbox for each ticket type.

Ticket types use specific times, event is shown once on What's On calendar

  1. Create an event and set its time to the overall length of the event, e.g. 10am to 5pm.
  2. Create ticket types for each slot you want to book. For each ticket type, check the box for "date override" and set the time and date to the specific time, e.g. Saturday 14:00 to Saturday 13:00, different for each ticket type.
  3. Under "Advanced options" for the overall event, check the box "Use overall event time for What's On calendar".
