When is the Welcome Fair 2021?

The fair runs from 10:00 until 16:00 each day on Saturday 2 October and Sunday 2 September  2021.

Where is the fair held?

The fair is held in UCL’s main building with additional outdoor activities in the main quad. The address for the fair is Main Quad, University College London, Gower Street, London WC1E 6BP. Activities do not take place in the Union building on Gordon Street.

What is the footfall at the fair?

About 15,000 students including freshers and returning students pass through the fair over the two days.

Is the fair busier in some areas?

No. Our security team helps to enforce a strict oneway system from the entrance to the exit of the fair, ensuring a constant and smooth flow of visitors throughout the fair.

How many stalls are there?

The 2018 fair had over 350 stalls comprising commercial outlets, charities, civil society groups, and Students' Union UCL clubs and societies and departmental representatives. 

What comes with the stall booking?

Each stall comes with a table, two access passes, two chairs, backing board and access to electricity and (on request)WiFi. If you do not require any of these, please indicate so when booking. If you are making an outdoor booking and still require electricity, please contact us to discuss. 

How much space will I have at stall?

All indoor stalls come with a space allocation of 1.2m X 1m and two stallholder access passes. This means that a maximum of two people will be allowed entry to the Fair to promote your organisation on your stall - this is strictly enforced due to overcrowding.

Is there WiFi access?

Yes. UCL's ISD manages UCL's network systems and WiFi. While we do provide access to WiFi, we cannot be held responsible for signal strength or any outages that may occur, although service is normally good.

What time can I come to set up my stall?

You may arrive at UCL from 07:00 to check in and set up your stall. Stalls must be set up by 09:30 for a Health & Safety inspection. If you will be arriving by car, please book a parking slot by emailing [email protected]

What do I need to bring on the day?

Please bring with you the headed letter confirming your booking, which you will receive when you have completed payment for your stall. If you are making the booking but will not be attending the event, it is of particular importance that you provide the event staff with your booking confirmation.

What happens when I arrive at UCL on the day of the fair?

When you come to UCL, Students' Union UCL personnel will meet you and assist with your check-in. You will be issued with the stallholder access passes an information sheet with FAQs, contact details etc., and a fair map marked with the location of your stall. You may then proceed to your stall and set up. The fair will run from 10:30 – 16:00. At 16:000 you must tidy your stall and vacate the area by 18:00. If you leave either a stall structure or items at your stall overnight you do so at your own risk. Students' Union UCL accepts no responsibility for loss, damage or theft of any item(s) at any stall. 

Can I bring additional personnel?

No. There are no exceptions to this. Due to Health & Safety regulations, we cannot allow any more than two representatives on each indoor stall at the fair. You will be issued with fair stallholder access passes and our security team will be checking these passes at all times. Personnel without access passes will not be permitted to enter the fair. Refusal to leave the Fair will result in expulsion from the Fair, your stall being dismantled, and future bookings with Students' Union UCL may be refused.

Is there parking at UCL?

Unauthorised vehicles left at the UCL Quad outside of these times will be clamped. Parking in the surrounding area can be found here.

Can I drop off items for my stall at UCL before parking?

Yes. Please contact us to indicate at the time of booking if you would like to avail of this service and approximate time of arrival. Deliveries can be made in half-hourly slots between 07:00 – 09:00. 

Can I have boxes delivered in advance?

The entirety of Freshers' is an extremely busy time at UCL and this, combined with the volume of exhibitors, unfortunately, means that Students' Union UCL is unable to accept any advance deliveries on behalf of stallholders. You can arrange for your freebies etc to be delivered on the morning of the fair, but a representative of your organisation will have to be present to receive them and you will need to have booked a vehicle access slot if they will need access to the Quad.

Are there storage facilities at UCL?

There is a limited amount of storage available for the two days of the fair. This will be allocated on a first-come, first-served basis. Please indicate at the time of booking if you would like to avail of this service and how many boxes (including approximate size of boxes) that you wish to have stored. Please note that items left in storage are done so at your own risk and Students' Union UCL accepts no responsibility for loss, damage or theft of any item(s) left in storage.

Is the Fair accessible to users with disabilities?
