Background
- Systems manages the lending and data extraction from our portable barcode scanners, which can be used to scan UCL student cards at events.
- After scanning, the barcode data will be extracted and converted by Systems into student information the department can then use.
- Note that the student information collected in this way can only be used for the purposes the student clearly consents to at the time of providing their card for scanning. Users of the barcode scanners are responsible for obtaining informed consent from students about the use of their information.
Process
Borrowing
- Contact SU.Systems@ucl.ac.uk to request use of a scanner. Include:
- dates and times
- purpose of scanning (for data protection records)
- how many you require
- whether you are able to download the data yourself or will require Systems to do it for you
- Systems will assign scanners to you by number. You can then pick these up.
- Systems will provide enough docks to charge the devices.
Extracting data
- After use, if you do not have the software to extract the data itself, provide Systems with the scanners.
- Systems will then convert this data to student information, i.e. UPI, Name, E-mail address. This will be done by requesting an updated list of UPIs and barcodes from ralic-support@ucl.ac.uk. The files returned to you will be named by scanner number.
- Systems will use https://www.ucl.ac.uk/dropbox/ to securely provide this to the designated person with the file named whatever the scanner was assigned.
- Staff should delete any file received like this as soon as it has been used and is no longer needed.

Installing the software to download data
- If you are running a Desktop@UCL device, ISD will need to do this for you, so e-mail servicedesk@ucl.ac.uk with this information if needed.

Managing data
To access charger
- Put chargers in dock.
- Connect Dock to PC.
- Open OPN2001 Companion Application PC app (could be 'OPN200x' in the start menu)
- Select the first COM serial port other than COM3
Before use (for each charger)
This can be done before a heavy period of use for the chargers, i.e. before Welcome, and doesn't need to be done each time (as long as data is cleared off the scanner each time it's used).
- Follow 'to access charger' above
- Press 'Set time'
- Then press 'Delete barcodes'
- Close (in top right)
- Leave charging (~2 hours)
- Select the next COM if you need to do the other chargers
Downloading data (in bulk)
- Have no chargers connected.
- Open app.
- Select 'CSV' at the bottom
- Select 'EU' as the date format
- Select '24 hr' as the time format
- Uncheck 'Automatic mode' if checked.
- Check 'Save to file' and Click the '...' to change save name to the new folder for this event, a useful filename, and include #SERIAL#
- e.g. folder might be S:/SU_Systems/Barcodes/Volunteering fair 2021-01
- e.g. filename might be Barcodes - Volunteering - 2020-01 fair - Scanner #SERIAL#.csv
- Check the Automatic mode checkbox and press Yes when it prompts.
- Plug in all scanners as needed. It should automatically load all scanner data when they're plugged in and create a file of results. Keep going until the folder is populated with the same number of files as scanners.
Downloading data (for each charger)
- Follow 'to access charger' above
- Select 'CSV' at the bottom
- Select 'EU' as the date format
- Select '24 hr' as the time format
- Check 'Save to file'
- Click the button next to it to enter a location to save the file
- Press 'Get barcodes'
- Check file created and has the data in it
- Press 'delete barcodes' to clear the device.
- Select the next COM if you need to do the other chargers
