Staff Support

We have tried to answer every question you might have in this Handbook, but we can't cover everything, so here are the staff members you can reach out to with questions, and the areas they are responsible for!

General Queries

Each artsUCL Fringe Festival Venue will have a Venue Coordinator – they will be responsible for ticket scanning, audience management, storage coordination, and other general duties at their venue. These roles will be introduced to you once they have been appointed, and they will become your point of contact for general queries. 

Technical Queries

Each artsUCL Fringe Festival Venue will have a Venue Technical Manager (VTM) from UCL Stage Crew Society, who will be responsible for coordinating technical support in their venue. These roles will be introduced to you once they have been appointed, and they will become your point of contact for technical queries.

Ticketing and Box Office Information

All ticketing at the artsUCL Fringe Festival is run centrally by the Bloomsbury Theatre & Studio Box Office Team (including for shows at the Camden People’s Theatre) 

Tickets for all shows at the artsUCL Fringe Festival are standardised at £3. There is no flexibility on this price, and artsUCL will collect the ticket income from every show at the artsUCL Fringe Festival. 

Ticketing Information Form

You should have received the Ticketing Information Form in to your offer email – the deadline for submitting this form is 10:00am on Wednesday 15 April

Bloomsbury Box Office 

The Bloomsbury Theatre & Studio Box Office will become the artsUCL Fringe Festival Box Office for the duration of the Festival!

You can contact them for any support regarding ticketing or your production’s webpage on the Bloomsbury Theatre website at [email protected] or call 020 3108 1000. 

Box Office Opening Hours (during the artsUCL Fringe):
Monday 1 June - Friday 12 June
10:00am - 8:00pm
Saturday 13 June
4:30pm - 8:30pm

The Box Office may occasionally be open later, but these are the standard opening hours

Technical Support/Information

Tech Slots

Each show will be given a tech slot, which the cast and production team must attend. Please arrive 15 minutes before your slot with a fully rehearsed, ready-to-perform show!  

In your tech slot you will set up any set pieces or instruments you have, and Stage Crew students will then program the lights for your show, and set up microphones and mix the sound levels. You might not get to run your entire show in the venue during this time, and that's okay! The focus is on programming the tech.  

Bring any set pieces, props and costumes you have ready, as well as any instruments. If you have sound effects, soundscapes, backing tracks, or projection, please bring these files on a USB, so Stage Crew can program them into QLab. It's also helpful if you can provide a script with cues written into it, so the crew know when in the show you want the lights to change, or a sound effect to play. 

Call Times & Get Outs

The call time for cast, production team, and crew is an hour before the start of each show, so that you can preset the space and ensure everything is ready. The house will then open to the audience 30 minutes before the show.  

After a performance, cast and production teams must take down their show as quickly as possible, so the next show can set up. Unless otherwise agreed, you must clear any set, props, costumes, and instruments yourself, returning the space to its original state in under 15 minutes. Schedules are very tight in most venues, and everyone needs to be respectful of the other shows, who need time to set up. 

Lighting, Sound & Staging

Each venue has a generic lighting rig designed to accommodate all the shows in the venue. Shows are not able to have custom lighting rigs, unless explicitly confirmed with artsUCL.  

Most performances will be un-mic'd, unless there is a live band. Microphones and DI boxes will be allocated to venues to accommodate the shows’ requirements.  

With the exception of Jeffery Hall, it is NOT possible to reconfigure the seating to alter the layout of the space, for example, to perform in the round. There is simply not enough to time between shows to restore spaces to their original state.

Rehearsal/Audition Space Booking

artsUCL Fringe Festival productions can book up to 5 hours of rehearsal space a week via our booking system below:

This system will only be available once Term 3 has started on Monday 27 April. If you would like to book a room during the Easter holidays, please email Praise, at [email protected]

If your production is supported by a Society, please consider asking the President to book you a room via regular SU/UCL processes instead, as non-Society affiliated productions are unable to access this process. 

Finances

Every artsUCL Fringe Festival production will receive a budget from artsUCL – this budget will have been communicated in your offer email. If you have any questions or concerns regarding your budget, please contact Dan, artsUCL Producer, at [email protected]. 

There are two ways to spend your budget for an artsUCL Fringe Festival production: 

  1. You can pay yourself and then be reimbursed by submitting this form alongside your receipt(s). Please note, we cannot reimburse payments without a receipt, so make sure you get one for every purchase.
  1. The artsUCL team can make purchase for you via credit card. Credit card payments will be made twice a week, between 11:00am and 12:00pm on Tuesdays and Thursdays – you can either email Dan at [email protected] with a payment link and details, or come to Floor 2, 25 Gordon Street WC1H 0AY between the above hours. 

Please note that credit card payments will only be made once Term 3 has started on Monday 27 April. 

Marketing/Advertising

artsUCL are responsible for creating your production’s webpage on the Students’ Union UCL website, and your production’s ticketing page on the Bloomsbury Theatre website. This will be done using the copy and images you submit via the Ticketing Information Form. 

You are responsible for marketing your show online, which can include creating Instagram and other social media accounts. artsUCL will happily share content to our stories, which you can DM to us, but we will not collaborate on posts. 

You are also responsible for creating any posters, flyers or other marketing materials you would like – any costs incurred from designing or printing must be paid for from your production’s budget. 

A big part of Fringe Festivals around the world is the culture of flyering, so we really encourage you to design a flyer and get some printed to hand out around campus. If you cannot find space in your budget for this, please contact Dan at [email protected] to discuss.

Storage

artsUCL are able to offer storage for set pieces, instruments or props from Tuesday 26 May – please note that we are unable to offer any storage before this date.  

Storage for each venue will be managed by the Venue Coordinator, so you can coordinate directly with them. 

You must remove anything relating to your production from your venue after your production's run has concluded – this can be arranged with your Venue Coordinator. 

Costume Cupboard

artsUCL Fringe Festival productions are able to access the artsUCL Costume Cupboard by appointment and borrow costume pieces for the duration of their production's run. 

Costume Cupboard access hours are between 2:00pm and 3:00pm on Tuesdays and Thursdays – please contact Praise at [email protected] to arrange an appointment. 

Please note that the Costume Cupboard will only be available once Term 3 has started on Monday 27 April.
