Purpose of the job:

 

The Arts Assistant (Programme) will support the smooth delivery of artsUnlocked and wider artsUCL activities, providing practical, administrative, and communications support to ensure a high-quality experience for students and practitioners. The postholder will work closely with the Arts Programme Manager and Arts Programme Assistant, to deliver engaging and accessible creative opportunities for the artsUCL community. Undertake tasks such as inbox and website management and will provide flexible assistance across the team as needed, enabling a cohesive and high-quality experience for the artsUCL community.

Job description

Programme 

  • Provide on-the-ground support to ensure the smooth running of artsUnlocked including Weekly classes and Creative courses.
  • Regularly check workshop spaces to ensure they are safe, clean, and properly prepared for sessions.
  • Laise with artsUnlocked practitioners for resources, specific room set up and queries they may have. 
  • Oversee practitioner resources, ensuring all necessary materials are prepared, organised, and replenished as needed.
  • Handle programme administration tasks including data tracking, updating the What’s On calendar, and maintaining ticketing information.
  • Support the design and delivery of the wider artsSocials programme, including activities such as Gallery Walks, Theatre Trips, and other creative events.
  • Provide a welcoming and inclusive environment for participants, helping to foster a sense of community and belonging within the artsUCL network.
  • Support the coordination of artsUCL Volunteers for specific artsSocial events.
  • Support programme evaluation by collecting feedback, attendance data, and participant insights to inform future planning.
  • Work collaboratively with the wider arts Team to ensure cohesive delivery across artsUCL programmes and initiatives.

 

Communications 

  • Work collaboratively with the Arts Assistants in managing the artsUCL inbox to ensure efficient handling of communications and requests, assigning queries to relevant members of staff.
  • Triage student queries and ensure appropriate follow-up.
  • Capture and edit content to promote the artsUnlocked, and wider artsUCL initiatives effectively.
  • Generate creative ideas for engaging content that resonates with the demographics of the artsUCL community.
  • Plan and write copy for website articles to spotlight activity within the artsUCL community. 

Ad hoc support

  • Offer ad-hoc support for events as needed, such as Welcome, Awards and Open Days, assisting with logistics and ensuring a smooth experience for participants.
  • Report any concerns with artsUCL managed spaces to the appropriate staff member

 

Other

  • The role will require the post holder to work a variety of hours, including regular evening and irregular weekend shifts.
  • Maintain an awareness and observation of Fire and Health & Safety Regulations.

Person Specification

 

Essential

  • Strong IT skills including proficiency with Microsoft Word, Excel, Outlook.
  • Attention to detail.
  • Ability to work unsupervised and take own initiative.
  • Ability to prioritise tasks.
  • Teamwork skills.
  • Fluent written and verbal English.
  • Experience of supporting the delivery of events
  • Enthusiasm for the artsUCL community at Students’ Union UCL.
  • Strong knowledge of artsUnlocked programmes at Students’ Union UCL.

 

Desirable

  • Knowledge and experience of Canva, Instagram, and TikTok.
  • A passion for the arts and enthusiasm to facilitate access to creative opportunities.
  • Proven ability to confidently create content for social media.
