Hi all, we will be holding our annual general meeting AGM to elect committee positions for next academic year 2020-2021.

IMPORTANT INFOMATION:
YOU NEED TO HAVE A VALID UCL PhotoSoc 19-20 MEMBERSHIP BEFORE RUNNING FOR ANY OF THESE POSITIONS.

YOU CAN RUN FOR:
ONE PRINCIPAL POSITION - Round One
AND / OR
ONE OTHER ROLE - Round Two

BUT IF YOU ARE ELECTED AS ONE OF THE PRINCIPAL ROLES IN ROUND ONE, YOU WILL NOT BE CONSIDERED FOR OTHER ROLES IN ROUND TWO.

Please find the list of committee positions available below:

ROUND ONE: PRINCIPAL OFFICERS * 3

1 - President
Oversees the running of ALL events, outreach and activities. This role involves facilitating communication between committee members, organising regular meetings to help the committee members to fully engage with their roles. The president is also in charge of filling out forms for event bookings, events, grants etc.

2 - Treasurer
Manages the finances of the society. This involves filling out reimbursement forms for expenditures on events and activities, applying for additional grants.

3 - VP & Welfare Officer (Combined Role)
Writes and sends out the newsletter and provides minutes for every committee meeting. Also assists the president with any extra tasks (eg external speaker events, organisation of a trip).

Organises welfare awareness events, is a point of contact for all students in the society – points students to the professional services at the university when necessary

ROUND TWO: OFFICERS * 6

4 - Community Outreach & Media Officer (Combined Role)
Contact between the society and volunteering services at Student Union, organises and informs about the volunteering opportunities, in charge of social media pages, answer questions, post updates.

5 - Social Secretary
Organises regular social events (which can be organised after workshops or photowalks or on their own) in order for the members to get to know each other in a relaxed atmosphere.

6 - Event Officer
Runs events on different photography techniques (beginners’ techniques, portrait or street photography)/photowalk. Events can be run by an external tutor who can be invited by the workshop coordinator.

7 - Event Photography & Equipment Officer (Combined Role)
In charge of managing the event photography requests and finding people from the event photography team to cover them. This involves answering messages (emails/facebook) and finding photographers to cover events.

Responsible for the equipment in the media suite – makes sure the equipment is safely stored when not in use and manages the requests for equipment rental. Checks the state of the equipment when necessary and reports any issues.

8 - Film Photography Officer
Responsible for organising and managing all aspects of the darkroom(under refurbishment) & film photography sessions & photowalks, assist event officer with regular events & workshops

9 - Exhibition Officer
Oversees planning of exhibitions and delegates the roles – printing, choosing photos, finding venue, etc.

Provisional AGM Outline:
18:00 - Opening
18:05 - Introduction and review of the year by the chair
18:10 - Voting of Constitution
18:15 - Speech, Q&A and voting in of new applicants ROUND ONE
18:50 - Speech, Q&A and voting in of new applicants ROUND TWO
19:50 - Announcement of new committee & Finish
20:00 - After-meeting social in Phineas Bar

For ALL committee positions listed above, please send an email with the title ‘AGM Application, Full Name’ to uczxpho@ucl.ac.uk by 12pm Wed Feb 26th, including:

1. The positions you are running for (1 + 1 or 1 + 0 or 0 + 1)
i.e. President + Event Officer

2. Your portfolio (or photography & videography works if you don’t have one)

3. PDF version of A short introduction of yourself (and what qualities & past experiences you have for this role) under 300 words +
And please prepare a 3-minute speech for each role you are running for, for the AGM, after which current officers & members may ask you questions regarding your application.
